The challenge
An inpatient EHR doing two jobs, badly.
Epic was the inpatient system of record and nobody wanted to touch it. But the outpatient clinics were drowning in it — scheduling was a twelve-click task, intake was paper-backed, and the hospital’s newer doctors were writing notes on personal apps because the chart surface was faster to avoid than to learn. Patient-facing pieces — portal, self-booking, reminders — didn’t really exist.
The solution
A workflow layer on top — not a migration.
We deployed The Clinic alongside Epic with an HL7 v2 bridge carrying ADT, ORM, ORU, SIU, and DFT messages bidirectionally. Outpatient clinics booked, charted, and billed in The Clinic; Epic stayed the system of record for inpatient encounters and remained the source of truth for PHI residency and audit. IT retained full control, and security signed off on day one because nothing about the existing install changed.
The outcome
Outpatient, transformed. Inpatient, untouched.
The first outpatient clinic went live at day 37. Throughput in those clinics climbed 23% as the Copilot absorbed intake and documentation overhead. Patient portal activation hit 71% in the first quarter. Inpatient workflows ran unchanged throughout, and the IT team reported zero unplanned downtime attributable to the rollout.
